Terms of Service

BoardVoice — True Anchor LLC — Effective April 1, 2026

Effective April 1, 2026. By using BoardVoice you agree to these terms. If you are using BoardVoice on behalf of an organization, you represent that you have authority to bind that organization.

1 Acceptance of Terms

Using BoardVoice means you agree to these rules. If you don't agree, please don't use the service.

These Terms of Service ("Terms") constitute a legally binding agreement between you and True Anchor LLC ("BoardVoice," "we," "us," or "our") governing your access to and use of the BoardVoice platform, including our website at boardvoice.app, all related web applications, and any services we provide (collectively, the "Service").

By creating an account, accessing, or using the Service, you acknowledge that you have read, understood, and agree to be bound by these Terms and our Privacy Policy. If you do not agree to these Terms, you must not access or use the Service.

2 Service Description

Plain English

BoardVoice is a tool for boards and government bodies to publish meeting records, agendas, minutes, and documents publicly. We host the platform; your organization controls the content.

BoardVoice is a board operations and public transparency platform designed for school boards, township boards, library boards, and similar governing bodies. The Service allows organizations ("Organizations") to publish meeting agendas, minutes, board packet documents, policy libraries, and other governance records for public access.

We reserve the right to modify, suspend, or discontinue any part of the Service at any time, with reasonable notice where practicable. We will not be liable to you or any third party for any modification, suspension, or discontinuation of the Service.

3 Accounts & Access

Plain English

Keep your password safe. You are responsible for anything done under your account. Only invite people who should have access.

Account Registration

To access administrative features, you must create an account with accurate and complete information. You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account.

Authorized Users

Organization administrators may invite additional users. You are responsible for ensuring that all users associated with your Organization account comply with these Terms. You must promptly remove access for any users who are no longer authorized.

Public Access

Certain information published through BoardVoice (including meeting agendas, minutes, documents, and board member directories) is accessible to the public without an account. Organizations are solely responsible for determining what content they choose to make public.

4 Your Content

Plain English

Your documents belong to you. We just store and display them. You're responsible for what you upload.

You retain all ownership rights to content you upload, publish, or transmit through the Service ("Your Content"), including meeting minutes, agendas, documents, policies, and any other materials. By uploading content, you grant us a limited, non-exclusive, royalty-free license to store, display, and transmit that content solely for the purpose of providing the Service to you.

You represent and warrant that you have all necessary rights to upload and publish Your Content, and that doing so does not violate any law or infringe the rights of any third party. You are solely responsible for the accuracy, legality, and appropriateness of Your Content.

We do not review, endorse, or take responsibility for content uploaded by Organizations. However, we reserve the right to remove content that violates these Terms or applicable law.

5 Public Records & Resident Comments

Plain English

Once you publish minutes or approve a public comment, it becomes part of the public record. Residents who submit comments agree their name and comment text will be public.

Organizations using BoardVoice may be subject to state and local open meetings laws, public records laws, and other regulations governing government transparency. BoardVoice provides a platform for publishing public records but does not provide legal advice. Organizations are solely responsible for ensuring their use of the Service complies with all applicable laws.

When a resident submits a public comment through BoardVoice, they consent to their name and comment being published as part of the public meeting record if approved by the Organization's administrator. Residents should not include sensitive personal information in public comments.

Residents who subscribe to meeting notifications consent to receiving email notifications from the Organization via BoardVoice. An unsubscribe link is included in every notification email.

6 Payment & Billing

Plain English

Paid plans renew automatically. Cancel any time before your renewal date. No refunds for partial months on monthly plans.

Paid Plans

Certain features of the Service require a paid subscription. By selecting a paid plan, you agree to pay the applicable fees. All fees are quoted in US dollars and are exclusive of taxes unless otherwise stated.

Automatic Renewal

Paid subscriptions renew automatically at the end of each billing period (monthly or annual) unless you cancel before the renewal date. We will charge the payment method on file at the then-current subscription rate.

Cancellation & Refunds

You may cancel your subscription at any time through your account settings. Cancellation takes effect at the end of the current billing period. Monthly subscriptions are not refunded for partial periods. Annual subscriptions cancelled within 14 days of initial purchase may be eligible for a prorated refund at our discretion.

Price Changes

We will provide at least 30 days' notice before changing subscription prices. Price changes take effect at your next renewal date.

7 Privacy & Data

Plain English

We collect the minimum data necessary to operate the service. We don't sell your data. Your documents are stored securely in Firebase.

Our collection and use of personal information is governed by our Privacy Policy, which is incorporated into these Terms by reference. By using the Service, you consent to the collection and use of information as described in our Privacy Policy.

Organization data, including uploaded documents, meeting records, and subscriber lists, is stored using Firebase, a service provided by Google. Data is stored in the United States. We implement reasonable security measures to protect your data, but no method of transmission or storage is 100% secure.

Upon termination of your account, we will retain your data for 90 days before deletion, during which you may request an export. We do not sell or share your data with third parties for advertising purposes.

8 Prohibited Use

Plain English

Use BoardVoice for legitimate governance purposes only. Don't try to break it, scrape it, or use it for anything illegal.

You agree not to use the Service to:

  • Publish false, misleading, defamatory, or unlawful content
  • Violate any applicable federal, state, or local law or regulation
  • Impersonate any person or organization, or misrepresent your affiliation with any entity
  • Upload malicious code, viruses, or any software intended to damage or interfere with the Service
  • Attempt to gain unauthorized access to any part of the Service or its infrastructure
  • Scrape, harvest, or collect data from the Service in an automated manner without our written consent
  • Use the Service in any manner that could damage, disable, or impair our servers or networks
  • Use the Service for any purpose other than legitimate governance, public transparency, or related organizational administration

9 Intellectual Property

Plain English

The BoardVoice platform itself belongs to True Anchor LLC. Your documents and content belong to you.

The Service, including its design, code, features, and branding, is owned by True Anchor LLC and is protected by copyright, trademark, and other intellectual property laws. These Terms do not grant you any rights to use our trademarks, logos, or branding without our prior written consent.

Nothing in these Terms transfers ownership of the Service or any of its components to you. Your limited license to use the Service is conditioned on compliance with these Terms.

10 Termination

Plain English

You can cancel your account at any time. We can terminate accounts that violate these terms.

You may terminate your account at any time by contacting us or using the account deletion feature in your settings. Upon termination, your right to use the Service ceases immediately, subject to the 90-day data retention period described in Section 7.

We may suspend or terminate your access to the Service at any time, with or without notice, if we believe you have violated these Terms, if required by law, or if we determine in our sole discretion that termination is necessary to protect the Service or other users. Termination for cause is effective immediately.

11 Disclaimer of Warranties

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT.

We do not warrant that the Service will be uninterrupted, error-free, or completely secure. We do not warrant that any specific outcome will result from your use of the Service. Your use of the Service is at your sole risk.

BoardVoice is not a law firm and does not provide legal advice. Nothing in the Service constitutes legal advice regarding compliance with open meetings laws, public records laws, or any other regulation.

12 Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, TRUE ANCHOR LLC SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING LOSS OF PROFITS, DATA, OR GOODWILL, ARISING FROM YOUR USE OF OR INABILITY TO USE THE SERVICE.

OUR TOTAL LIABILITY TO YOU FOR ALL CLAIMS ARISING FROM THESE TERMS OR YOUR USE OF THE SERVICE SHALL NOT EXCEED THE GREATER OF (A) THE AMOUNT YOU PAID US IN THE 12 MONTHS PRECEDING THE CLAIM, OR (B) $100.

Some jurisdictions do not allow the exclusion of certain warranties or limitation of liability, so some of the above limitations may not apply to you.

These Terms shall be governed by the laws of the State of Michigan, without regard to conflict of law principles. Any disputes shall be resolved in the courts of the State of Michigan.

13 Changes & Contact

We'll give you 30 days' notice if we make material changes. Questions? Email us.

We may update these Terms from time to time. For material changes, we will provide at least 30 days' notice via email or a prominent notice within the Service before the changes take effect. Your continued use of the Service after the effective date constitutes acceptance of the updated Terms.
